Job Purpose:
Assist project managers with specific administrative tasks related to their assigned projects. They organize and communicate all the details of projects and specific assignments to team members and serve as a liaison between those team members and the project manager.
Key Accountabilities & Working Relationships:
• Execute project management administrative and bookkeeping tasks such as managing invoices, purchase orders and inventory reports, among other financial documents.
• Supervise the project procurement process.
• Meeting with project clients to assess their needs and define project requirements, acceptance criteria and project timelines.
• Coordinate the allocation of project resources to ensure the project team has what’s needed at the right time.
• Monitoring the daily progress of projects
• Providing detailed updates to project managers or other stakeholders
• Ensuring team members have the supplies and resources they need to complete their assigned tasks on time and within their budget limits.
• Organizing reports, invoices, contracts, and other financial files for easy access
• Planning meetings and organizing project logistics
• Performing billing and bookkeeping tasks
• Ordering necessary office supplies
• Ensure compliance with all applicable information security policies & procedures.
• Ensure quality and accuracy of the engineering deliverables for the discipline and compliance with Health, Safety & Environmental (HSE) responsibilities.
Who we are looking for:
• Diploma in engineering or Equivalent.
• Preferred – any additional certification courses in Project Management and Planning.
• Proven experience in project management, from conception to delivery.
• Excellent ability to prepare and interpret flowcharts, schedules, and step-by-step action plans.
• Proficient in organizational skills, including multitasking and time management.
• Strong client-facing and teamwork skills.
• Knowledge of risk management and quality assurance control.
• Exposure to planning software like PRIMAVERA / MS PROJECT.
• Expert knowledge in MS EXCEL.
• Good understanding of engineering processes and ERP system.
• Ability to understand & work through complex planning issues in support of ever evolving business needs.
• Demonstrated high order interpersonal skills and the ability to operate within a multinational environment.
• Good presentation skill.

• Construction management principles.
• Understand the total value chain of the business on projects.
• Competent in problem solving, negotiation and facilitation in a project environment.
