Job Purpose

We are looking to hire Manager, Travel & Transport Services who will be responsible for the IMI operations of travel and transport processes including, flight bookings, pool vehicle reservations, busses operations, in addition to other transportation arrangements as and when required. Also assume responsibility for the oversight and management of vendor contracts, development and updates of policies and procedure and tracking/reporting of all expenses incurred which will then be reported back to the Planning & Control division.

Key Accountabilities
  • Arrange, organize, and actively manage Travel and Transport staff to effectively execute the following services (which may require 24x7 support if required):

    1. Corporate Vehicles (including vehicle fueling, incident reporting, etc.)

    2. Travel services (including flight bookings, visa arrangements, and all other travel requirements)

  • Effectively communicate between the contracted travel management company, as well as individual travel service providers, such as airlines, lodging, vehicle, and other requirements as and when required.

  • Ensuring effective and efficient P&P compliance across the Travel and Transport Processes 

  • Periodical compilation, verification and expense reporting including request and utilization reporting.

  • Review and analyze operational data with the respective performance management bodies within the FM&SS organization in view of developing process and cost optimization and continual improvements.

  • Produce, maintain, and update the travel and logistics policies and procedures.

  • Support IMI employees in using the IMI travel request portal as and when required.

  • Backup where necessary to the other FM&SS professionals in the office

  • Coordinate internally and support Travel and Transport Employees and extend necessary support to FM&SS team-members as necessary.

  • Manage and liaise with various external vendors, contractors and suppliers as required.

  • Ability to work in a cooperative and collaborative manner within a culturally diverse work force

Experience
  • Over 15 years of experience in a similar role.

  • 5 years of experience in supervisory/ leadership role.

Education
  • Bachelor’s degree in any Business-related field (i.e. Business Management, Travel, Logistics or equivalent)

Competencies (Knowledge, Skills & Abilities)
  • A solid and sound understanding of the Travel and Transport process including planning, execution, reporting and continual improvement.

  • Excellent Computer Skills (all MS suites), Organized and Methodical, planning, and problem-solving skills, Good Communicator and a team player

  • General knowledge of various airport customs and regulations, ability to obtain information on visa requirements and travel restrictions
