Job Purpose:

Manage the electronic document and manage utilization of engineering document.

Key Accountabilities & Working Relationships:

• Responsible for and ensure smooth function of the department documentation.

• Manage the electronic document management system (EDMS) for the department.

• Develop and manage utilization of engineering document registry to allow accurate and easy retrieval of information for the engineering team. Ability to locate information in a timely manner and accurately is a key function of the role.

• Register & maintain all deliverables in each project in project Engineering Document Register (EDR). • Maintain records of all engineering documents to support bidding and projects.

• Organize and maintain storage and retrieval of all engineering documents.

• Receive project documents from company project document controllers and disseminate it to respective engineering team members.

• Issue all engineering documentation/drawings, and correspondence to other business work streams within the company through transmittal.

• Keep all engineering team members and corporate document controller updated on new document versions of engineering procedures, guidelines, and standard formats.

• Ensure that all engineering documents are well checked and submitted on time prior to the document’s submission due date.

• Ensure that all documents have no errors in filenames, revisions, submissions, etc. before submitting it to the recipient department/party to avoid confusion.

• Allocate document numbers to internally prepared documents and incoming documentation.

• Expedite the review and approval of documentation.

• Reproduction of information into both printed (if required) and electronic format for communication to the engineering team.

• Maintain confidentiality regarding sensitive documents.

• Maintain engineering technical library files and coordinate with the designated engineer on any new revisions.

• Generate engineering manhour report as per weekly timesheet.

• General office administration support as needed/required.

• Adhere to all HSE and housekeeping requirements.

Who we are looking for:

• Bachelor’s Degree.

• Preferred – Any additional certification / training in office engineering.

• Document Management through any electronic document management system (EDMS)

• Proficient in Microsoft 365 Applications such as Outlook, SharePoint, Word, Excel, PowerPoint etc.

• Proficient typing and editing skills.

• Data organization skills.

• Tracking and Reporting.

• Attention to detail.

• Good communication skills (both written & verbal) with ability to interact across multiple disciplines. • Ability to read and interpret documents.

• Familiarity with project management.

• 3 + years of relevant experience.

• Fluent written and spoken English.
