Job Purpose
We are looking to hire Senior Analyst, Planning & Program,
This job role is to ensure The position holder will play a pivotal role in providing comprehensive administrative support to
our engineering function, contributing to the success of projects in the oil/gas and maritime industries. The role requires a proven track record in cost analysis, project and overhead budgeting, forecasting, contracting, scheduling, HR, and office management.
Senior Analyst, Planning & Program of Engineering & QC Function and acts as an assistant to the Vice President, providing or coordinating administrative and planning activities, contract administration, personnel matters, vehicles, professional certifications, business process optimization and compliance, change management, IT, proc document control, assets management, reporting services, and management presentations as required.
Key Accountabilities & Working Relationships
Key Accountabilities:
The Senior Analyst, Planning & Program who will be responsible for but not limited to:
Cost Analysis and Budgeting:
• Conduct detailed cost analysis for engineering projects, ensuring accurate budgeting and resource allocation.
• Develop and manage project and overhead budgets, monitoring variances and proposing corrective actions.
• Ensures that the division's and Saudi Aramco's reporting and budgeting requirements are maintained.
Forecasting:
• Collaborate with engineering teams to create accurate forecasts for upcoming projects.
• Analyze market trends and industry developments to inform strategic decision-making.
Contracting:
• Lead the contracting process, negotiating agreements and ensuring compliance with industry standards.
• Monitors and controls contract administration, ensuring that business aspects of contracts are conducted according to good business practices and that IMI requirements are fulfilled.
• Work closely with legal and procurement teams to finalize contracts and agreements.
Scheduling:
• Develop and maintain project schedules, coordinating with engineering teams to optimize workflow.
• Regularly update schedules and communicate any adjustments to relevant stakeholders.
Human Resources:
• Oversee HR functions for the engineering department, including recruitment, onboarding, and performance management.
• Ensure compliance with HR policies and address employee relations matters.
• Interacts with team members at all levels including training coordinators and HR teams on personnel matters.
Presentation and Reporting:
• Develop and deliver compelling presentations to showcase department progress and achievements to senior management.
• Provide regular updates on key performance indicators and milestones.
Office Management:
• Manage day-to-day office operations, optimizing efficiency and productivity.
• Implement and improve administrative processes to enhance overall business operations.
• Manage daily office operations, ensuring efficient communication and collaboration within the department and across departments.
• Manage timekeeping activities within the engineering support unit. Ensures accurate recording of working hours, tracks attendance, and supports payroll processes.
General Administration:
• Conducts administrative/business-related matters for assigned division as determined by Function requirements.
• Provides support for the Function staff by ensuring coordination with department planning or other IMI organizations Operations, MRO, Asset Management, IT, Transportation, Finance, Industrial Security, Procurement, etc.
• Regularly reviews business processes and look for improvement opportunities.
Who we are looking for
Education:
Bachelor’s degree in business administration, Engineering, Construction Management, or a related field.
Experience:
At least 9-15 years of experience in a business administration role within Maritime, shipyard, oil & gas, petrochemicals, or similar industries.
Competencies (Knowledge, Skills & Abilities):
Must be familiar with Engineering, Procurement and Construction practices.
Proven expertise in cost analysis, project and overhead budgeting, forecasting, contracting, scheduling, HR, and office management.
Strong presentation skills with the ability to effectively communicate complex information to senior management.
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)
Strong organizational skills with a focus on attention to detail and deadlines
Excellent interpersonal and communication skills. with a proven ability to manage multi-disciplinary teams
Must have ability to communicate fluently in both spoken and written English.
