Your future role & Job Purpose:
Job Purpose:
Document Controller is responsible for the numbering, filing, sorting, distribution, and retrieval of documentation produced by IMI Departments according to the IMI Document Control Policy and Procedure.
Key Accountabilities & Working Relationships:
Key Accountabilities:
1. Copying, scanning, Sorting, storing, uploading, and retrieving electronic and hard copy documents.
2. Maintaining shared folders, controlling access on company document management system, OneDrive & SharePoint etc.
3. Review documents for accuracy, formatting, as per Company formats and edit to suit.
4. Revisions controlling of department and project documentation.
5. Filing of documents in digital and physical records with quick access for retrieval.
6. Assist in the preparation of reports and presentations.
7. Create templates as required.
8. Create tracking registers and maintain as required.
9. Distribute documents for review and manage responses process.
10. Maintain the office environment in a professional and acceptable manner.
11. Conducting regular reviews and document audits.
12. Assist with department audits as part of ISO Compliance.
13. Coordinate distribution of reports, budgets and performance statics as directed.
14. Innovation in the process to conserve paper and reduce waste.
15. Identification numbering of documentation and correspondence for tracking purposes.
16. Ensure documents are shared at key times to facilitate timely project completion / execution.

Ability to effectively communicate strategic direction through sound logical, commercial, and technical reasoning, with all functional areas in the organization. Promote a “can-do” team spirit creating a culture of high standards, work ethic and job satisfaction within the department.
External Interactions:
Contact with other Divisions within Maritime Yard to exchange information related to their function area. former employees and dependents to exchange information.
Who we are looking for:
Education
Diploma in Computer Science/Business Administration or equivalent.
Experience
At least 3-9 years’ experience as a Document Controller.
Competencies (Knowledge, Skills & Abilities):
Demonstrates ability to listen to the views of others and respond in a logical, well thought out manner.
Well-developed presentation skills and excellent interpersonal skills
The ability to communicate with multi-disciplinary teams.
Be Physically fit, and able to complete a full medical assessment.
Good habits.
Resilient under stress and capable of managing competing priorities
Have a working knowledge of Document Control Procedures and ISO Standards. Computer proficient in Word, Excel, Power Point.
Experience in working with diverse cultures.
Languages:
English. (Mandatory)
