JOB PURPOSE / OBJECTIVE

 

Summary of the main purpose of the job as the basic function and scope of the job in terms of organization, geographic areas supported, financial or other volume/size metrics, strategic impact and nature of supervision received or exercised related to the job in a descriptive manner.

 

The position holder is responsible for Managing the department’s documents, controlling the numbering, filing, sorting, and retrieval of electronically stored or hard copies of documentation in a timely, accurate and efficient manner

KEY ACCOUNTABILITIES

 

KEY ACCOUNTABILITIES Areas of Accountabilities (list up to 10 prime activities) (Describe concisely each principles work activity listed in logical order normally the list with include the most important duty first indicating important decision and recommendations made if applicable; start sentences with action verbs first)

• Support QA Function in Documentation

• Receive, catalogue and stores hard copies and electronic copies of Audit reports and other documents such as Policies, Procedures, Plans, Guidelines, work Instructions, etc. and related information in an orderly manner, In line with Document Control Procedures • Upload and update documents to Electronic Document Management System

• Maintenance Records from archival to disposition.

• Allocate and control the document numbering system for QA Documents.

• Custodian for HSE documents that need to be controlled and kept for audit / internal requirements.

• Respond In a timely manner to request and retrieve information, information searches and general requests for Support Project / department personnel. • Receive and answer emails, input information into the system, create transmittals to recipients, track documentation, and ensure to avoid dela s that would affect the business.

• Operate the Electronic Document Management System • Ability to work cross functionally internally and externally.

• Undertake any other ad hoc projects/duties assigned. 

 

QUALIFICATIONS & EXPERIENCE

 

Education

• Bachelor’ Degree in Administration or equivalent. Professional Qualifications (Certifications & Accreditations)

• ISO 9001 & ISO 45001 Internal Auditor

• Certificate Document Control & Retention -desirable Competencies (Knowledge, Skills & Abilities)

• Proficiency in MS Office and Primavera DM

• Knowledge of documentation practices with respect to manufacturing, ISO certification and API certification

• Knowledge of EDMS software such as ASSAI, OMNIDOCS, DOCUMENTUM

• Good Communication skills

• Ability to work under pressure and time management skills. • Superior problem-solving skills • Detail oriented

Experience

 

Minimum of 3 to 6 years related experience in document controlling. 

 

Languages

Good communication skills in English, basic knowledge in Arabic is a plus.
